Before you reserve
Policies
A clear overview of the details each client agrees to before Big Moments Co. confirms a date.
Your date is not reserved until the required deposit is received. Creating a booking receipt confirms that these policies have been reviewed and accepted.
Public location policy
Park, beach, and public-space setups take place in areas open to the public. Big Moments Co. arrives early to secure the best available location whenever possible, but privacy, an empty area, or uninterrupted access cannot be guaranteed unless the client reserves the location and provides proof of any required permit.
Responsibility & weather
The client is responsible for venue rules, required permits, parking fees, applicable fees, additional fees presented, and any damage caused by the client or guests. Big Moments Co. is not responsible for delays, cancellations, modifications, or damages caused by weather, accidents, transportation issues, road conditions, or other circumstances beyond our control.
Cancellation & refund
All deposits and payments made to Big Moments Co. are non-refundable and non-transferable. Once a reservation is secured with a deposit, cancellations are not eligible for a refund.
Payment policy
A required deposit is due once your booking has been approved to secure your date. The remaining balance is due before or on the day of the event, prior to the team's departure. Accepted payment methods are Zelle and Apple Cash only.
Reschedule policy
Clients may reschedule one time with at least one week's notice. The new date must be available within the 30-day booking window.
No-show / last-minute cancellation
No-shows and last-minute cancellations result in the complete loss of the deposit, and the booking will not be eligible for rescheduling.
3-Hour Proposal Booking
Your 3-hour booking includes: 1 Hour — Setup & Styling We prepare and style your proposal setup. 1 Hour — Enjoy your special moment, celebrate together and capture photos and videos of the experience. 1 Hour — Breakdown & Cleanup We carefully break down and remove the setup after your proposal. Early Arrival: We arrive approximately 1.5 hours before your scheduled setup time to offload our rental items and prepare for the setup. This allows us to be fully prepared and ensures your scheduled service time runs smoothly.
Client Responsibility
• Client is responsible for choosing a safe and accessible location. • Client is responsible for monitoring the rental setup during the rental period. • Any venue, permit, parking, entry, additional fees or location related fines are the responsibility of the client.
Damaged, Lost, or Stolen Items
The client is financially responsible for any rental items that are damaged, broken, lost, stolen, excessively stained, or require replacement while in the client’s care.
Weather & Venue Restrictions
• Outdoor setups are subject to weather conditions. • Big Moments Co. reserves the right to modify or remove décor if weather conditions create safety concerns or risk damage to rental items. • Big Moments Co. is not responsible for delays caused by weather, venue restrictions, security personnel, lack of access, or circumstances outside of our control.
Late Pickup
Additional rental time must be approved in advance. Unauthorized late pickups are subject to a $100 per hour fee.

Yes. Delivery and setup fees are based on your selected location. Extra fees may apply for beaches, sand, stairs or difficult-access locations. Any permits, venue reservations, or additional fees required by the city or venue are handled separately by the client.
